OAK & IVY HOUSE
Your information,
held with care.
Guest responses
The name, contact details, interests, budget, availability, and optional needs you share are used by the Founder and appointed Keeper of Gatherings to plan gatherings and follow up as you request. Future invitations are optional. Please share practical needs without medical or other sensitive details.
Requests for a key
Membership introductions are received privately by the Founder, who coordinates thoughtful consideration with the Board of Housekeepers. By submitting a request, you permit that membership review and personal follow-up using the email you provide.
Personal invitation keys
Your referral, personal note, and response are visible to your sponsoring member, the Founder, and Housekeepers appointed to membership or correspondence duties as needed for invitation administration. Opening a key while signed in is recorded so they can understand its status. Email invitations match the invited account. Personal text links connect once to a verified account; keep those links private. A text delivery number is not phone authentication.
Private rooms and profiles
Personal profiles start private. Members can choose to share their profiles with the applicable House circle; personal-room sharing is a separate choice. Founding planning and House conversations remain in their authorized member spaces. Profiles are not displayed on the public website. Please keep other women’s words and stories in confidence.
Portraits, personal galleries, and interests
Profile portraits and personal galleries follow the member’s profile-sharing choice. They remain private until the member chooses to share with the applicable circle. Members control their own uploads, captions, and removals. Upload only photographs you have permission to share. Selected interests are saved as consistent choices to support future connections; they do not automatically introduce or message anyone.
Room photo boards
Uploaded room photographs start in your own private collection. A photograph is shared only when it is pinned in a saved room and the viewer is allowed into that room. Changing your room to private or removing a selected visitor also closes their access to the photograph files. Unpinning keeps the upload in your collection; deleting removes it from the saved board and blocks access through the site.
Phone book and regional map
Listing is optional. You choose whether to share your contact email, phone number, or a general region with other House members. Existing Founding profiles are not automatically added to this shared phone book. Uncheck a choice and save to remove it. The map uses states and regions, not street addresses.
Books and family photographs
The Founding Members Book is restricted to the Founding circle. The Founder controls named-email permission for the Founder’s Book. Files are checked for access when opened. Members may contribute event albums and photographs to the private House photo book, with the permission of those pictured. Contributors and the Founder may remove their albums or photographs. Please respect these sharing choices, including after opening or downloading a file.
Impact & Opportunity planning
Members may privately share their name, program interests, contribution roles, expertise, availability, and optional notes with the Founder. The signed-in account identifies the response. Members can update or withdraw their interest; other members and public visitors cannot read these responses. Program charters are Founder-only. Only a deliberately entered public program update appears on the public Impact page. Planning interest is separate from any future scholarship application, competition entry, or investment activity.
Mentorship and scholarship inquiries
Nonmembers may submit contact details, learning goals, professional fields, availability, interests, and voluntary working preferences. The Founder reviews these privately. Only the selected mentor receives an applicant’s name, field, and goals when the applicant has permitted that sharing. Proposed pairings require agreement from both women. Scholarship interest is separate from an application to a confirmed, funded opportunity; neither guarantees an award.
Pitch & Build interest
Members and nonmembers may share their name, email, general location, business stage, contribution interests, and a brief introduction. These responses are visible only to the Founder and used for personal follow-up about this initiative. Submitting does not enter a competition, register an audience seat, create an account, or grant membership. No payment or confidential pitch deck is requested. Contact oakivyhouse@gmail.com to correct, withdraw, or remove your interest.
Founding nominations and private ballots
Candidate photographs and introductions are shared only with the Founding circle, with permission. Candidate email addresses stay private to the Founder. Ballot records use protected one-way voter references without names or emails; the interface shows only your own recorded vote while voting is open and aggregate results after publication. Other members cannot see your choice. Platform administrators retain technical access to stored data, so anonymity is not an absolute guarantee against administrative access. Results and candidate decisions stay inside the Founding room.
Appointed administrative access
Housekeeper authority is assigned by the Founder for a defined term and limited to the role’s responsibilities. The Foundation Steward can review dues, financial records, and administrative activity; Membership and Correspondence can administer invitations; Gatherings can review event responses; Hospitality can coordinate welcomes; Service can review program submissions that authorize that audience; and the Library Keeper can curate reading selections. Older program submissions limited to the Founder retain that restriction. Role authority does not open private letters, rooms, unshared profiles, or Founding ballots. Administrative activity records who acted, the area, and the time, without copying private correspondence or application answers.
Applications to serve
Role titles, responsibilities, and availability are public. Housekeeper applications are visible to the applicant and the Founder. Roleholder names, biographies, and portraits are featured to members only with permission and an active membership. Serving in a role does not automatically grant access to other members’ private information or Founder controls.
The House mailbox
House post shares announcements with active members, with Founding-only notes restricted to the Founding circle. Private letters are available through the site only to their two participants, without a Founder reading override. Platform administrators retain technical access to stored data; letters are not end-to-end encrypted. Mailbox discovery is a separate choice from profile sharing: your chosen mailbox name appears only when you allow new conversations, while your email stays private. The Founder mailbox is available by default for member contact unless closed. You can block another mailbox, keep a conversation in your own archive, and control your own read status. Blocking prevents further letters in both directions but does not erase existing correspondence. Membership removal closes site access to the mailbox. Messages stay internal; no email or push delivery is implied. Contact the Founder for corrections, removal requests, or concerns.
Email and follow-up
Invitation and welcome emails are prepared in the House outbox. When email sending is connected, they are sent through the configured email service. Declining does not opt you in to ongoing invitations. The site currently shows when a sending service accepts a message; that does not confirm arrival in an inbox.
Essential guest session
A short-lived essential cookie protects guest response forms and limits repeat submissions. Private rooms use verified sign-in and individual access checks. Email sign-in is provided through Supabase when enabled. Essential session cookies keep you signed in; signing in does not by itself grant membership. Existing profiles are linked using the verified email address, so your saved information stays with your House account.
